The Diocese of Wichita is seeking an outstanding individual to serve as Database Assistant for the Office of Development and Planned Giving.  Responsibilities include maintenance and update of a collaborative database serving our major ministries; processing contributions and preparing acknowledgements and receipts; ensuring accuracy of gift data entry; creating reports, queries and exports; and assisting in circulation for our diocesan newspaper.

Position Title: Database assistant

Supervisory responsibility: None

Reports to : Database Administrator – Office of Development and Planned Giving

Position Status: Non-Exempt, Full time (35 hours/week)

Effective Date: August 2017

Education: High school education or equivalent work experience

General position description: Provides ongoing support for data needs essential to our mission by updating, maintaining, and querying the diocesan database. Also provides general support to the development office as needed.

Specific Duties

Maintain and update the collaborative database, with over 150,000 records, serving major ministries across the diocese, including high schools, elementary schools, soup kitchen, and health clinic

Process all contributions, preparing acknowledgements and receipts within 1-2 days

Work closely with Accounting Department to ensure accuracy of gift data entry and depositing

Create reports, queries, and exports for mailing lists, special projects, or data analytics, as requested

Assist in the circulation of diocesan newspaper through NCOA updates and continual contact with church secretaries to maintain parish membership rosters

Other duties and special projects as requested by supervisor

Required characteristics

Ability to prioritize and complete assignments on time while managing multiple projects, often with shifting priorities, as part of a team or independently.

Experience working in a database, The Raiser's Edge preferred

Proficiency in Microsoft Excel

Flexibility and willingness to adjust job duties within the department in order to more efficiently respond to database needs of diocesan entities

Emphasis on accuracy and consistency

Ability to maintain a strict sense of confidentiality

Self-motivated with strong organizational skills

Desire to serve others in a support role for mission-driven agencies by creating opportunities for charitable giving

Practicing Catholic with thorough knowledge and lived experience of stewardship preferred

Physical Demands/Work Environment:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is frequently required to sit and occasionally required to stand, walk, and talk or hear.  It is required that this individual have sufficient clarity of speech and hearing to communicate effectively.  The work environment will consist of normal office conditions.  The noise level in the work environment is usually quiet to moderate.
